Village Organiser Instructions

These instructions are for all Village Organisers, whether resident in the village or not.  A separate webpage here details the differences between resident and non-resident organisers.

 

Task Steps
Login Your login URL is the same as other residents but you get some extra options under your login to complete Village Organiser tasks.

To login press the Login button above, or go to this link https://clubhubssl.com/red.php?&p=lRVRANZ.

If you have forgotten your login details then see the Forgotten Password section below. If the system cannot identify you then please follow the on-screen instructions or talk to your Village Organiser.

Tell a resident how to register themselves These are instructions you can give them...
  1. Go to this link https://clubhubssl.com/red.php?&p=oRVRANZ 
  2. press the Register as an RVRANZ Member button
  3. Complete your details
Recognise data issues Run the Village report (Tasks >> Villages Report) and look for data that has been entered by the residents incorrectly.

As the Village Organiser it is your responsibility to get this correct. Your first task should be to get the right information in place. The suggested procedure is

  1. Run the Resident Report (under Tasks) Print the report (using Data Only option)
  2. Examine the data entering the real data by hand on the paper report if you know what the values should be 
  3. Edit each resident amended on the paper report, correcting it
  4. Run and print the report again (now just values that you don't know)
  5. Visit each resident with suspect data with the paper report, entering the corrected data by hand on the paper report
  6. Edit each resident amended on the paper report, correcting it

Doing this one time task to get the data correct initially, will give the residents confidence the system can work, and will familiarise you with ClubHub.

Create a new resident 
  1. Get all the details required for this person
  2. Logout if currently logged in
  3. Go to this link https://clubhubssl.com/red.php?&p=oRVRANZ
  4. press the Register button
  5. Complete details

or alternatively

  1. Get all the details required for this person
  2. Login using your Village Organiser details
  3. go to Tasks >> Manage Village
  4. click the 'here' link
  5. press the Register button
  6. Complete details
  7. Login as yourself when finished if required
Amend details on behalf of a resident
  1. Login
  2. go to Tasks >> Manage Village
  3. click Logon As for the person in question
  4. Amend their details via My Details >> Update Personal Info
  5. enter correct information
  6. press Update
  7. click Return to Original Login
Add a resident to an existing person i.e. a partner
  1. Login
  2. go to Tasks >> Manage Village
  3. click Logon As for the person in question
  4. go to Tasks >> Register a new member
  5. click Add a new Resident
  6. enter information
  7. press Update
  8. click Return to Original Login

If the partner has already registered but as an individual then send an email to the administrator (Contact >> The Administrator) asking that the new person to be merged with whoever it is

See who is in your village Tasks >> Show Village
See who owes money Tasks >> Residents owing Debt
Get a report of all residents Tasks >> Resident Report
Send all village residents an email Contact >> My Village
Reset a resident's password
  1. Login
  2. go to Tasks >> Manage Village
  3. Click Reset Password
  4. If the resident has a working email address, click Send Email
  5. If they don’t have a working email address tell them what is shown on the screen
Enter a payment on behalf of a resident If a resident gives you a cheque or cash (rather than sending to the administrator) then ask the administrator, by email, what they want you to do with the money.

If they can't handle the credit card payment and want you to do it then use logon as and Tasks >> Make a Payment to pay the debt.

If a resident moves away or dies Tell the administrator by email, they know how to amend the information
The resident does not have an email address Email addresses are mandatory in ClubHub.

ClubHub suggests that the Village Organiser enters their personal email address for such residents. Doing that means that an email sent to residents in your village will be received by you AND will list the residents to be contacted by other means. You could then print the email and take to them.

If a resident refuses to use ClubHub The data still needs to be in ClubHub for completeness for the Association. Treat these residents as though they do not have an email address.
A resident is in the system twice Send an email to the administrator asking that one of them be removed.
